Welcome to the NAP tour

This is a guided walk through everything your membership includes: the community platform first, then the Mental Health EHR. Each screen explains one area and points at exactly where to find it.

Pages 1–6 cover the community platform — your account, groups, and the work of NAP.
Pages 7–14 cover the Mental Health EHR — scheduling, charts, notes, billing, and claims.

Joining and signing in

Your NAP account is one sign-in for everything: the community platform, the EHR, and any add-ons. Membership applications are reviewed by a real person, so access arrives by email once approved.

Member login

Top right of the homepage → Member Login

Enter the email and password you registered with.
If your membership is still being reviewed, the page tells you — nothing is broken.
Forgot your password? Use the reset link on the login page and check your email.

Two-factor authentication

Settings → Security

Two-factor (TOTP) adds a six-digit code from an authenticator app at sign-in.
It is required before the EHR will open — patient records are behind it on purpose.
Set it up once; every sign-in after that takes a few extra seconds.

Your member number

Platform → Account panel

Every member gets a permanent member number when their account is created.
It is how NAP refers to you in member records — lower numbers joined earlier.

After signing in you land on the member workspace — your home base for account details, membership, support, and jumping into the community.

Update your email, username, or password from Settings & preferences.
Privacy controls live here too — you decide what other members can see.

Questions about membership, billing, or access go to a real person.
For EHR questions, say so in your message — those route to the EHR team.

Community: groups and messages

The community is the heart of NAP — practitioners talking to practitioners. Groups organize the conversation by topic, and direct messages handle the one-to-one parts.

Browse groups by focus area and join the ones that match your practice or interests.
Post, reply, and upvote — the best answers rise to the top.
If the group you need does not exist, you can start it.

Workspace → Messages

Private conversations between members, inside the platform.
Use them for referrals, coordination, and anything that does not belong in a group thread.

Community norms

Everywhere in the community

Never post patient-identifying information — not in groups, not in messages.
Clinical discussion is welcome; de-identify everything. The EHR is the only place PHI belongs.

A standalone planning tool for structuring treatment approaches.
Separate from the EHR — no patient data required to use it.

The strategy

Every tool NAP builds removes money from a system built to exploit practitioners.
The Mental Health EHR — covered in the second half of this tour — is the largest of these.

The Mental Health EHR

The EHR is NAP's practice management and clinical record system for mental health: scheduling, charts, notes, billing, and insurance claims in one place — built and run by practitioners, not investors.

Who sees what

Practice roles

Clinicians see their own patients, schedule, and notes.
Billing staff see invoices, claims, and remittances.
Practice admins see everything, plus staff management, settings, and the audit history.
Your role is assigned per practice by your practice administrator.

Two-factor is required

The EHR will not open until two-factor authentication is enabled on your account.
This is deliberate: every screen behind that gate can contain patient information.

Privacy by construction

Throughout the EHR

Patient records are encrypted at rest and isolated per practice.
Every view of a clinical record is written to a tamper-evident audit log.
Break-glass access exists for emergencies — and it is audited the loudest.

Calendar and scheduling

The calendar is the EHR's front door and its daily driver: appointments, availability, and the starting point for almost everything clinical.

Appointments

Left rail → Calendar

Click a time slot to book; pick the patient, clinician, and service.
Appointments respect the practice's default slot length (set in Practice Settings).
Cancel or reschedule from the appointment itself — the record keeps the history.

Why the calendar matters downstream

Calendar → everything else

A signed session note is what makes a session billable.
The billing worklist and claim generation both start from completed appointments.
If the calendar is accurate, the revenue cycle mostly runs itself.

Patients and charts

The Patients page is where charts live: demographics, documents, treatment plans, and the full clinical history for each person your practice serves.

Finding and adding patients

Left rail → Patients

Search by name to open an existing chart.
Add a new patient from the same page — demographics first, everything else builds on it.
Charts are assigned to clinicians; a clinician sees their own caseload by default.

Treatment plans

Document goals, interventions, and review dates on the chart.
Plans are versioned — updates add a new version rather than rewriting history.

Uploads attach to the chart and are stored encrypted.
Opening a document is an audited event, like every other record view.

Progress notes

Progress notes are the clinical record of each session — and the trigger for the entire revenue cycle. A signed note is what turns an appointment into a billable service.

Writing and signing

Appointment → Progress note

Open the note from the appointment on the calendar.
Write the note, then sign it — signing locks the content.
A signed note cannot be silently edited; corrections go through amendments that preserve the original.

Notes and billing

Automatic

Signing a note queues the billing side: the session appears in the billing worklist.
No signed note, no claim — this is the practice's protection against billing for undocumented care.

Billing: invoices and payments

The Billing page tracks the money side of care: what has been invoiced, what has been paid, what is outstanding — for self-pay and insurance alike.

Invoices

Left rail → Billing

Invoices are created from completed, documented sessions.
Each invoice shows its status: open, paid, partially paid, or settled.
Record payments against the invoice; overpayments and adjustments are handled explicitly.

The unbilled-work badge

Left rail → Billing (the red number)

The badge counts claims generated but never sent, plus sessions with no claim built at all.
That second half is the quietest way a practice loses money — nothing is broken, so nothing complains.
Click through to the billing worklist to work the backlog down to zero.

A queue of everything that needs attention: unsigned sessions, unbilled services, stalled claims.
Work it top to bottom; when it is empty, nothing is silently leaking revenue.

Insurance claims and remittance

For practices that bill insurance, the EHR generates standard 837P claims and posts the 835 remittances that come back — the full loop, without a third-party billing service.

Claims are built from signed sessions with the practice's billing info and the patient's coverage.
Review before submitting: the claim shows exactly what will be sent to the payer.
Submitting queues the claim for transmission — see the next page for where it goes.

Claims move through generated → submitted → paid (or denied).
A denied claim can be corrected and resubmitted; the original is preserved.
Downloading a claim file is audited — it contains patient information.

Remittance (835)

When the payer responds, the remittance posts payments against the claim automatically.
Posting settles the invoice: paid amounts, adjustments, and patient responsibility all land at once.
You can also upload an 835 file by hand if one arrives outside the clearinghouse.

The clearinghouse console

The clearinghouse is the postal service between your practice and the payers. The console shows every transmission: what was sent, what came back, and what needs attention.

Batches

Claims travel in batches; each row shows the status: queued, sending, sent, or failed.
Expand a batch to see exactly which claims rode it.
Transmit sends the oldest queued batch through the active connection.

Inbound files

Clearinghouse → Inbound

Pull fetches new files from the clearinghouse: 835 remittances and 999 acknowledgments.
An 835 can be posted straight into remittance from here — payments land without re-typing.
Opening a file's content is an audited PHI view.

Connections

Clearinghouse → Connections (admins)

A connection is how the EHR reaches your clearinghouse: directories or transfer scripts.
One active connection at a time is typical; deactivate rather than delete to keep history.
Requires a signed BAA with your clearinghouse before real claims flow.

Running the practice

The last stop: the administrative surface that keeps the practice configured, staffed, and auditable. Most of it is admin-only, and all of it is one rail click away.

Staff

Invite clinicians and billing staff, assign roles per practice.
Client assignments control which clinician sees which patients.

Practice settings

Practice name, time zone, and default appointment length.
Billing info carries the claim identity payers see: NPI, taxonomy, EDI profile.
Get billing info right before the first claim — payers reject on identity mismatches.

Audit history

Every record view and change, who did it, and when — searchable.
The log is hash-chained: entries cannot be altered without detection.
This is your HIPAA accounting of disclosures, built in from the first migration.

Readiness checklist

A pre-flight check for go-live: required gates and any triggered work.
Run it before real patients; it tells you what is missing rather than letting you find out later.
